OpenLM Users Management Guide

General

OpenLM's Users management tool is the interface for managing users, groups and projects.
The software can be installed on every workstation in the LAN. By default, it is configured to connect with local OpenLM Server; To connect a remote OpenLM Server, please change the server name at the application settings (Settings --> Options). URL format should look like this: http://<OpenLM Server Name>:<OpenLM UI Port>/OpenLMServer


Groups & Projects

This document introduces the concepts of group and project as implemented by OpenLM.

Groups have hierarchical structure so they can be nested. Every group can have one or more users in it. A typical implementation of groups would be an organization's hierarchical structure where the different divisions of the organization are at the top level, and smaller subunits are below.
Every user may belong directly to one or groups. By inheritance, a user that belongs to a group, belongs to all its ancestor groups. Each user has a default group, which is his primary group, and every licensed activity done by him is also registered under the default group.

Projects have flat structure. Every user may belong to one or more projects. A user also has a default project which all licensed activity done by him is registered under that default project. A unique mechanism allows users to conveniently switch the active project during work session. In that manner working time by projects, as reported by OpenLM, would be very accurate and precise.

Main User Interface

The main UI of this management tool is divided to 3 views:

At the main view there is a list of all the users.
At the top left view the groups are listed.
At the left view, the projects are listed.

 

Selecting a group or a projects effects the users listed in the main view. e.g. when selecting "Management" group, the main view will show only users that belong to the "Management" group.
Or when selecting "Distributors" group and also selecting "Project B" project, the main view will show users that belong to the "Distributors" and assigned to "Project B" as shown in the following screenshot:



To all users, please be sure to select <All Groups> and <All Projects>.

Find & Filter options at the top of the main view help locating users.

Find option selects the users the comply with the phrase written at the text box and only users that have that string in heirs user name, first name or last name will be selected:



Filter option will show in the users view only users that comply with phrase written at the text box, after pressing the "Go" button:


To go back to the full view of users, clear the "filter" text box and press "Go".

Note: both Find & Filter options are case sensitive.


As you will see below, there are many ways to achieve same results. If you'll know your way in the software, you'll be able to get the desired results in a minimum time.

Manipulating Users

To add a new user, simply press "New user" button and fill the user details:


Entering user name is mandatory.

When adding groups or projects be sure to select a default group/project. Do so by right clicking on the group/project and select it as default:


After adding, groups and projects, the list of groups/projects will appear at the main display and the default group/project will be marked red:


To edit existing user's details, select the user and double-click it or press "User Details" button.

You also may edit several users details at once by selecting them and pressing "User Details" button. This is a good way to add several users to an existing group.

Manipulating Groups

Groups are hierarchical and therefore displayed as a tree. New groups added by the "New Group" button well be added as root groups. To add a descendant group, select the parent group node, right click it and select "Add new Sub Group":


To add users to group, you can simply drag a user and drop it on the desired group node.
When doing so, the group will be marked with an asterix (*) until you save the changes using "Save Group" button (or "Save All" if changes were made to more then one group):


Manipulating Projects

New projects can be added when pressing "New Project" button.

To add users to project, you can simply drag a user and drop it on the desired project.
When doing so, the project will be marked with an asterix (*) until you save the changes using "Save Project" button (or "Save All" if changes were made to more then one project).
