Borrowed licenses
A report on licenses borrowed for offline use. When a user borrows a license, the seat leaves the shared pool for the whole borrow window, whether or not the application is used in that time. This report shows how long each borrow lasted, how much of that window was productive, and which users and features account for the borrowing - so you can spot seats that are being held out of the pool for no return.
In the product this report is the Borrowed Licenses sheet of the License Management dashboard. Its sheet title reads Borrowed License Activity.
Borrowed License Activity: duration and utilization KPIs, per-user utilization against idle time, borrowed licenses over time, and the event-level detail table.
KPIs
- Total Duration (Hours): Total length of the borrow windows in the selected period.
- Total Utilized (Hours): The part of those windows in which the license saw use.
- Percentage Utilized: Total Utilized as a share of Total Duration. A low figure means seats were held out of the pool without being worked on.
- Total Idle Time (Hours): The remainder - borrow time in which the license sat idle.
Visualizations
- Borrowed License Utilization by User: A grouped bar chart comparing, per user, the total borrow duration against the idle time inside it. Users whose two bars are close together are borrowing seats they are not using.

Number of Borrowed Licenses: A line chart of how many licenses were on loan over time, so you can see borrowing peaks and how long the pool stayed depleted.

Borrowed License Details: An event-level table, 1 row per borrow.
Values displayed:
- User Name: The user who borrowed the license.
- Feature Name: The borrowed feature.
- Quantity: Number of licenses taken in that borrow.
- Start Time: When the borrow began.
- End Time: When the license was due back, or was returned.
- Total Duration (Hours): Length of the borrow window.
The table scrolls horizontally for the remaining columns.

Filters:

Date: A relative date filter. It defaults to Last 14 days and prints the resolved range underneath (for example,
2026/07/11 to 2026/07/24). Select another preset, or a custom start and end date, to change the reporting period. -
Feature Name: Users can select any feature name from this filter.

Software Name: Select a catalogued product from the SAM Catalog. The catalog normalizes publisher and product names, so filtering here groups license records that carry inconsistent raw license strings.

User Name: Users can select any username from this filter.

Child Username: OpenLM aggregates usage under a parent user account, so User Name shows the combined total for that person. Select a child username here to drill into a single account merged under the parent. See User aliases for how OpenLM builds the mapping.
Interpreting this report
- Percentage Utilized is the headline: how much of the seats' time away from the pool went to active work. 100% means borrowing is doing its job (offline work happened for the whole window). Low percentages mean someone checked seats out, carried them away, and never used them - capacity denied to everyone else for nothing.
- The per-user chart separates policy from habit. 1 user with long, idle borrows is a conversation. Many users with short, fully-utilized borrows is a healthy pattern.
- Number of Borrowed Licenses over time shows how deep borrowing cuts into the pool - align its peaks with denial times in Denials to see whether offline checkouts are starving on-site users.
- Remember the mechanics: a borrowed seat does not return at application exit, only at borrow expiry - which is why End Time, not session length, bounds each row in the details table.
The license manager must allow borrowing for a feature before it can appear here. Whether a borrowed license served a given session is also reported by the Borrowed column on License activity.
