License allocation

A report that shows how the organization assigns licenses to users and captures related group or department details. Use it to assess license distribution and support administrative planning.

In the product this report is the License Allocation Details sheet of the License Management dashboard.

Visualizations​

  • License Allocation Details: This table lists feature name, server name, vendor, license type, product, version, username, allocation start date, and allocation end date for each license assignment.

Values displayed:

  • Server Name

  • Vendor

  • Feature Name

  • License Type

  • Product Name

  • Version

  • Username

  • Allocation Start Date: The date and time, in Coordinated Universal Time (UTC), when the organization assigns or reserves the license for a specific user or purpose.

  • Allocation End Date: The date and time, in UTC, until which the license remains assigned to that user. After this date, the license releases, gets reassigned, or expires.

  • Filters:

  • Date: A relative date filter. It defaults to Last 14 days and prints the resolved range underneath (for example, 2026/07/11 to 2026/07/24). Select another preset, or a custom start and end date, to change the reporting period.

  • Server Name: Users can select any server name from this filter.

  • Vendor: Users can select any vendor from this filter.

  • License Type: Users can select any license type from this filter.

  • Feature Name: Users can select any feature name from this filter.

  • Software Name: Select a catalogued product from the SAM Catalog. The catalog normalizes publisher and product names, so filtering here groups license records that carry inconsistent raw license strings.

  • Product Name: Users can select any product name from this filter.

  • Version: Users can select any version from this filter.

  • User Name: Users can select any username from this filter.

  • Child Username: OpenLM aggregates usage under a parent user account, so User Name shows the combined total for that person. Select a child username here to drill into a single account merged under the parent. See User aliases for how OpenLM builds the mapping.

Interpreting this report​

  • This is the paper trail of who is entitled to what - each row is an assignment with a start and end date, not a usage record. A user can hold an allocation and never consume it; License activity measures consumption.
  • Allocation End Date is the operational column. Rows approaching their end date are seats about to release; rows with distant end dates and no matching usage are candidates to reassign - cross-check the holder in Named license analysis, which computes exactly that utilization.
  • Filter by Feature Name and count rows against the pool in License procurement to see how much of what you bought is assigned.
