Software Catalogs
Software Catalogs is the working view of the catalog. The screen is titled Software Titles and opens on the Local tab, which lists the approved entries that belong to your organization. The Global tab lists the OpenLM-maintained entries that every organization shares.
The grid
Both tabs show the same columns:

| Part of a Package | Yes if the entry belongs to a suite or bundle. |
| Category | The classification used for filtering and reporting. Entries that have not been classified show Unknown. |
The grid toolbar adds four more controls:
- Export CSV — opens a menu with CSV, TSV, and XLSX. Local tab only.
- Refresh — reloads the grid.
- Toggle Filters — turns the column headers into filter dropdowns for Software Name, Publisher, Feature, and Deployment Type.
- Search — free-text search across the grid; matches are highlighted.
Hover over a row on the Local tab to reveal two actions:
- Edit Catalog — opens the entry in the same form used to add one.
- Audit Trail — shows the entry's history: who created, updated, approved, or rejected it, and when.
On the Global tab only Audit Trail is available. Global entries are read-only for your organization, so the tab has no Add Catalog, Import Catalog, Share To Global, or export controls.
Add an entry manually
Select Add Catalog to open the Add Catalog Entry form.

Each field has an information icon that repeats this guidance in the app.
Select Save to add the entry, or Cancel to discard it. If you leave the form with unsaved changes, the app asks whether to Save or Discard & Continue.
A saved entry starts as unapproved and lands on Pending Catalogs. It joins this screen once an administrator approves it. The same applies when you edit an approved entry: the change sends the entry back for approval.
Import entries from a file
Select Import Catalog to load many entries at once.
- Select Download Template and choose CSV, TSV, or XLSX. The template carries the column headings the importer expects.
- Fill in the template. Feature Code, Software Name, and Publisher are required; Version, Deployment Type, Category, Is Package, Process Name, and Dll File Names are optional.
- Select Upload and choose your file. The file name appears in the dialog.
- Select Confirm. Confirm stays disabled until a file is selected.
When the import finishes, the dialog reports how many rows were processed, how many duplicates were found, and how many erroneous entries were detected. Duplicate rows are skipped rather than overwritten, and imported entries go to Pending Catalogs for approval like any other new entry.
Keep a single file under 10,000 rows and 50 columns. Larger files are truncated or rejected.
Version, Process Name, and Dll File Names can only be set through import — the add form does not expose them. Process names and DLL file names help OpenLM match installed software to the right catalog entry.
Export the catalog
Select the Export CSV icon in the grid toolbar and pick CSV, TSV, or XLSX. The export covers the local catalog.
Share your catalog with OpenLM
Share To Global copies your organization's local catalog into the global catalog, where it becomes available to every organization using OpenLM Platform. In exchange, your organization draws on the catalog data that OpenLM curates centrally.
The dialog lists every local entry that the copy covers and states plainly that this action cannot be undone. Continue stays disabled for a short countdown so the decision is deliberate, and selecting it asks you to confirm once more before anything is copied.
Share To Global appears only while your organization has not yet made a decision.
- Continue opts in. Your catalog is copied to the global catalog and the button disappears.
- Cancel declines, and the button disappears as well.
- Closing the dialog with ✕ leaves the decision open, and the button stays.
The copy runs one way. Your local catalog is unaffected, but the entries added to the global catalog cannot be withdrawn from it.
